Reporting to the Deputy Director for Operations and Planning, provide strong leadership at YUAG and with central Yale Facilities Department, and facilitate communication and foster collaboration within YUAG and across the University. Assist in the planning and lead the implementation of departmental growth/change in anticipation of increase in complexity and scope of operations and management responsibilities. Oversee and ensure the maintenance of the finest university art museum and associated facilities in the world. With latitude for the exercise of independent judgment, cover the following responsibilities for the Gallery's dozen facilities (the museum that is comprised of three adjacent public buildings; multiple staff facilities in downtown New Haven; and storage, collection care, and staff facilities in neighboring towns.)
Responsible for managing the day-to-day operations of various facilities to ensure the operations and maintenance meet the needs of the collections, staff, students, and visitors as well as University and museum standards. In consultation with the University Facilities department and the Art Gallery department heads and senior administrators, develop, recommend, and implement policies and procedures for routine and emergency building services, repairs, and alterations in the museum's facilities. Assist in leading and developing capital projects through work with University planners, architects, engineers and construction managers to define requirements and develop design and construction specifications, costs, and schedules. Liaise with YUAG Renovation Project Manager for public/gallery renovations through 2012.
- Direct, schedule, and supervise building maintenance and custodial services, repairs and alterations, and energy conservation activities. Ensure performance is timely, cost effective, and of high quality.
- Ensure proper environmental levels are maintained for collection, staff, and public spaces. Monitor building systems and makes adjustments to climate in consultation with chief conservator
- Analyze and responds to emergencies. This position is on call 24/7. Provide leadership to Gallery-wide emergency procedures and serve on committee.
- Assure training and compliance with fire, safety, and building code standards and
specifications.
- Participate in the planning of building projects and attends contractor meetings.
- Manage requests for events, alterations, and for movement of furniture, supplies, books, and offices.
- Obtain information and estimates for services, alterations, and equipment purchase and maintenance. May sketch preliminary layout drawings for submission to physical plant or outside contractors for alterations.
- Monitor the status and costs of repair and alteration jobs, insuring timely response, and reporting problems to appropriate authorities where appropriate.
- Collect incident reports and conduct facilities-related risk assessment and mitigation
- Recruit, train, and supervise facilities and custodial staff.
- Prepare, monitor, and manage facility budgets.
- Regularly communicate to Art Gallery staff the status and schedule of building and maintenance projects.
- Manage offsite storage that is not collections related. Manage associated leases.
- Maintain appropriate files and records of the building services function.
- Coordinate facilities activity with University operations, physical plant, safety department, Fire Marshal, and outside contractors.
- Manage loading dock protocol.
- Maintain vehicle provided for this position. Responsible for vehicle used as YUAG mail shuttle.
Qualifications:
- Bachelor's degree in relevant technical field and 8 years in facilities management or equivalent combination of education and experience
- Extensive facilities and project management experience including knowledge of building management systems
- Demonstrated managerial, supervisory, and communication experience.
- Experience working with outside vendors, contractors, architects, etc. Ability to read architectural drawings.
- Prior supervisory and management experience.
- Preferred: Experience managing museum building systems and with facility preservation issues. Knowledge of Johnson Controls/ Metasys climate system and CAD program. Knowledge of Microsoft Project, Outlook, and Sharepoint.
